For Running Totals

    Some Shift Categories may require a "Running Total" . “Flexitime” is a good example of this where on any particular day an employee may have earned extra time or may have lost some time. This attendance time ca be collected in a running total category so that at any time the employee’s total attendance time can be viewed.

     

    When using Running Totals, three Shift Categories are used. One category is for Time Added, one for Time Removed, and the last category is the actual Runing Total Category.

     

    At the end of each pay period the Daily Hours are transferred into Payroll Hours. During this process the Running Total may be altered according to the shift rules, for example you can have a macro script that implements a limit to the number of hours that can be carried forward. Thus at the beginning of the following pay period, the Daily Running Total may need to be reset to the Total value as was set at the end of the previous week. Alternatively you could decide to reset it to zero (i.e. start each pay period with a fresh total) or not to reset it at all.

    Define the Total Shift Category

    The Running Total Shift Category is the category where the total hours are held and is the category to which hours are added or taken away.

     

    To create the Total Shift Category, proceed as follows:

    1. In the Browse Shift Categories window, select the Add button. The Update Time Category window will be displayed.

    1. Select the General settings option and configure the new shift category as indicated in the Shift Time Categories section.
    2. Select the Running Totals settings option.

    1. Select the category type to be Total.
    2. Select how the Total hours are to be used. Can be used for calculating employee Daily Hours or Payroll Hours.
    3. If Daily Hours is used, select how the Total is to be reset.
    1. Payroll Period. The Total is calculated on the payroll hours. This balance is then carried over to the total of the next months daily hours.
    2. Zero. The hours in the Total Shift Category are set to zero.
    3. Don’t Reset. The hours in the Total Shift Category remain and are carried over into the next period.
    1. Click on the Ok button to save the new Total Shift Category (FlexiTime) and it will now be listed in the Browse Shift Categories window.

    Define the Add Shift Category

    The Add Shift Category is the category where the excess hours are held. This category is the one that will affect the Running Total column (Flexi Time) in a possitive way by adding the hours to the running total.

     

    To create the Total Shift Category, proceed as follows:

    1. In the Browse Shift Categories window, select the Add button. The Update Time Category window will be displayed.
    2. Select the General settings option and configure the new shift category as indicated in the Shift Time Categories section.
    3. Select the Running Totals settings option.

    1. Select the category type to be Add.
    2. Use the Add and Subtract Categories select box and select the Total Running Total category (Flexitime).
    3. Click on the Ok button to save the new Shift Category (Flexi+) and it will now be listed in the Browse Shift Categories window.

    Define the Subtract Shift Category

    The Subtract Shift Category is the category where "short" hours are held. This category is the one that will affect the Running Total column (Flexi Time) in a negative way by subtracting the hours from the running total. 

     

    To create the Total Shift Category, proceed as follows:

    1. In the Browse Shift Categories window, select the Add button. The Update Time Category window will be displayed.
    2. Select the General settings option and configure the new shift category as indicated in the Shift Time Categories section.
    3. Select the Running Totals settings option.

    1. Select the category type to be Subtract.
    2. Use the Add and Subtract Categories select box and select the Total Running Totals file (FlexiTime).
    3. Click on the Ok button to save the new Shift Category (Flexi -) and it will now be listed in the Browse Shift Categories window.

      Please Note: Now that the Running Totals shift categories are set up (and unless the system is completely manual) you will need to add some Shift or Payroll processing rules to get time into the Add and Subtract categories. This can be done using Daily or Payroll Shift Categories Balancing option or by using a Script.

      You can manually edit the employee's Running Total in the User Module. The important thing to note however, is that you should not edit the Running Total category directly. Rather you should add time to either the Add or Subtract columns. For this reason, when editing Daily and Payroll hour’s records, you will not be able to see any of the Categories which are marked as Running Totals. When viewing Daily and Payroll hours the Running Totals column will appear in Blue.
