    This option is used to import employee leave information from an ASCII text file.

    Import Leave Formats

    CS Time Generic Format

    The CS Time Generic Import Format is a CSV (Comma Separated) format where each line represents separate leave information.

    The main advantage of CS Time Generic Format is that it can also be used to import other information other than leave. The first field on each row identifies the type of record being imported. For example C is for clockings, L is for leave, R is for Rostering and so on.

    The format used is as follows:

    Optional. Usually left blank. If blank then the site code at the place of import is used.

    Required. Each employee on the site needs a unique 10 character, alphanumeric identifier.

    Required.  The first day on which the employee is on leave. In the format dd/mm/yyyy

    To Date

    Required.  The last day on which the employee is on leave. In the format dd/mm/yyyy

    Required. The type of leave that the employee is on. Leave Types must be pre-configured in the Configuration module.

    Paid Leave Days

    Optional. A number valid to 2 decimal places. This will affect his accrued paid leave, i.e. 15.25.

    Optional. A number valid to 2 decimal places. This will affect his accrued sick leave.

    Optional. Optional. Valid options are Yes or Y, No or N, Pending or P.

    Optional. The name or number of the employee who approved the leave.

    Optional.  The date on which the leave request was made. In the format dd/mm/yyyy

     

    Leave.txt Format

    This option is used to import employee leave information from an ASCII text file with each line representing one leave record (e.g. Leave.Txt).  The record can be up to 261 Characters long.  The fields are in “fixed positions”, in other words each field starts at a set character position and has a set maximum number of characters. There is no inter-field separation character – i.e. no commas between fields but only a single space. Also, all fields do not have to hold information. Below is an example of a leave.txt file containing Leave information.

    • Imported records will be scheduled for processing whenever they are imported.
    • If a leave record with the same employee number and the same leave from date is imported, then the new record will overwrite the old record.

    Importing Leave Information

    To import leave information using the CS Time Import option, proceed as follows:

    1. Select the Leave option from the File / Import dropdown menu and the Import Leave window will be displayed.

    1. Use the From File select button and select the path and file from which the leave information is to be imported.
    2. Select the required import file Format.
    3. Click on the Start button to start the import operation. A progress window will be displayed while the system imports the information.
