Access Cards

    Access Cards are used to control and manage all access to a site and can be in any form, be it proximity tags, bar-coded cards, iButtons. The type of card will depend on the type of reader that has been installed. The management of the access cards is done from the Configuration Module using the Clocking Cards option from the Setup dropdown menu.

     

    View Card Information


    This option enables you to view all the clocking cards that have been assigned to CS Time and to which employee or visitor they have been allocated. This option only allows you to view the cards but does not allow you to edit or assign cards.

    To view the card information, proceed as follows:

    1. Select the Cards option from the Query or Edit dropdown menu. The Browse Cards window will be displayed.

      The Browse Cards window provides:
    1. View options. The options at the top of the list enables all access cards to be listed or just the temporary cards.
    2. List of Cards. This is a list of all the system cards, their classification (type) and to whom they are assigned.
    3. Send To button. Used to send the current window’s information to a printer, a file or as e-mail.
    4. Release Card button. This button is used to release a card that has been assigned to a visitor.
    5. Close button. Used to close the window.

    Issuing a Temporary Employee Card


    To issue a Temporary Card to an employee, proceed as follows:

    1. Select the Assign a Temporary card to an employee option from the Task dropdown menu. The Assign Temporary Card Wizard will then be displayed.

    2. Select the Next button.
    3. Use the Employee Number select button and select the employee to whom the temporary card is to be issued and then click on the Next Button.
    4. The next wizard window will display the employee’s name, and if available, a photo of the employee. Use the Card Number select button to select a temporary card that will be assigned to the employee and then click on the Next button.
    5. At the next window select the Finish button to assign the temporary card to the selected employee.

     

    Note: A Temporary Employee Card that has been issued to an employee can only be used on the day of issue as the system automatically releases all Temporary Employee Cards after 24 hours.

    Issue a Visitor’s Card


    To Issue a Visitor’s Card, proceed as follows:

    1. Select the Issue a Visitor card option from the Task dropdown menu.

    2. When the Add New Visitor Wizard will then be displayed, select the Next Button.
    3. Use the Find Visitor select button and select the visitor to whom the visitor’s card is to be issued and then click on the Next Button.

      Note: If the visitor cannot be found or is a new visitor, select the Next button and when the next wizard window is displayed, fill in the visitor’s information in the respective fields.
       
    4. The next wizard window will display the visitor’s information. Click on the Next button to continue.
    5. Use the Contact select button to select the employee who is being visited and then click on the Next button.
    6. Use the Visitor’s Card select button and assign a card to the visitor. Click on the Next button to continue.
    7. If the visitor is to be restricted to an area, use the Area select button to select the area and/or then click on the Next button.
    8. If the visitor’s access is to be limited to a particular time zone, use the Time Zone select button and select the particular time zone to be applied and then click on the Next button.
    9. If the card is to have the Anti Pass Back option, click the check box (must show a tick mark to be active).  Select the Next button.
    10. At the next window select the Finish button to assign the visitor’s card to the selected or newly entered visitor.

    Release a Visitor’s Card

    Note: A Visitor’s Card can only be released if it has not yet been used to gain access or the visitor has clocked out (left the site).

    To release a Visitor’s Card, proceed as follows:

    1. Select the Cards option from the Query or Edit dropdown menu. The Browse Cards window will be displayed.
    2. The Release Card option from the Task dropdown menu can also be used and is described under Change a Visitor’s Card.

    3. Select and highlight the Visitor’s Card to be released and then click on the Release Card button.

    Change a Visitor’s Card


    To change a visitor’s card, proceed as follows:

    1. Select the Release Card option from the Task dropdown menu and the Release Visitor Card Wizard will be displayed.
    2. Use the Find Visitor select button and select the visitor for whom the card is to be changed.
    3. Use the Visitor’s Card select button and select the new card from the list of available cards and then click on the Next button to continue.
    4. At the next window select the Finish button to assign the new visitor’s card to the selected visitor.
