HR - Codes

    Lists of all the different HR Module Codes are created and are used when using the HR Code select buttons on the different Employee related windows when updating an employee’s records.

    The codes can be viewed in the Configuration Module.

    Course Codes

    Course Codes are used to identify the different courses that an employee can attend.

    View the Course Codes


    To view the available course codes, proceed as follows:

    1. In the Configuration Module, select Courses from the Employee / Human Resources drop-down menu. The Browse Courses window will be displayed.

    The options available from this window are:

    1. View options. The options are used to select the order in which the training courses are to be viewed.
    2. Training Course List. This is a list of all the training courses that have been registered and provides the following information for each record listed:
    1. Code. This is the course code that is used to identify the course.
    2. Description. This is the description of the course (course name).
    3. Cost. This is the cost (per candidate) for the course.
    4. Qualification Required. This is the qualification required by the student to attend the course.
    5. Link. If there is any additional information with regards to the particular course (i.e. a text file of additional information), this column is an active link to the particular information and by clicking on the link the associated file can be opened.
    1. Send To button. Used to send the current window’s information to a printer, a file or as e-mail to an e-mail recipient.
    2. Add button. This button is used to add a new employee course record to the list.
    3. Change button. This button is used to change the details of an existing course.
    4. Remove button. Used to remove an existing course record from the list.
    5. Close button. Will close the window.

    Add a Course Code


    To add a new course code to the list, proceed as follows:

    1. At the Browse Courses window, select the Add button. The Adding a Courses Record window will be displayed.

    1. Enter in a Code that will be used to identify the particular course or use the automatically generated system number.
    2. In the Description box, type in the name of the course.
    3. The Cost text box can be used to enter the cost of the course per candidate.
    4. The Qualification Required box is used to capture the qualification requirements of the candidate to attend the course.
    5. If any equipment is needed by the candidate to attend the course, enter the information in the Equipment Needed box.
    6. If there is any additional information with regards to the particular course (i.e. a text file of additional information), use the Link browse button to locate the particular file.
    7. Use the Quick Select option to select how the particular course will be represented in the calendar view.
    8. If required, the Comment option can be used to add any additional comments.
    9. Select the Ok button to save the course and to add it to the list.

    Changing a Course Code


    To change a Course Code, proceed as follows:

    1. At the Browse Courses window, select and highlight the Course Code to be changed and then click on the Change button and the Update Course window will be displayed.
    2. Make the required changes and then click on the Ok button to save the changes.

    Removing a Course Code


    To remove a Code from the list, proceed as follows:

    1. At the Browse Courses window, select and highlight the Course Code to be removed and then click on the Remove button.
    2. When the delete confirmation window is displayed, select the Yes button to remove the selected course code from the list.

    Offence Codes

    Offence Codes are used to identify the different offences that apply to employee disciplinaries.

    View the Offence Codes


    To view the available offence codes, proceed as follows:

    1. In the Configuration Module, select Offenses from the Employee / Human Resources drop-down menu. The Browse Offence window will be displayed.

    The options available from this window are:

    1. View options. The options are used to select the order in which the offence codes are to be viewed.
    2. Offence Codes List. This is a list of all the offence codes that have been registered and provides the following information for each record listed:
    1. Code. This is the code that is used to identify the particular offence.
    2. Description. This is the description of the particular offence.
    3. Comment If there is any additional information with regards to the particular offence, this column will display this.
    1. Send To button. Used to send the current window’s information to a printer, a file or as e-mail to an e-mail recipient.
    2. Add button. This button is used to add a new offence record to the list.
    3. Change button. This button is used to change the details of an existing offence.
    4. Remove button. Used to remove an existing offence from the list.
    5. Close button. Will close the window.

    Add an Offence Code


    To add a new offence code to the list, proceed as follows:

    1. At the Offence Codes Browse window, select the Add button. The Offence Code Update Offence window will be displayed.

    1. Select the General option.
    2. Enter in a Code that will be used to identify the particular offence or use the automatically generated system number.
    3. In the Description box, type in a description of the offence.
    4. If there is any additional information with regards to the particular offence (i.e. a text file of additional information),enter the URL to locate the particular file.
    5. If required, the Comment option can be used to add any additional comments.
    6. Use the Quick Select options, available from the Color option, to select how the particular offence will be represented.
    7. Select the Ok button to save the offence and to add it to the list.

    Changing an Offence Code


    To change an offence code, proceed as follows:

    1. At the Offence Codes Browse window, select and highlight the Offence Code to be changed and then click on the Change button and the Offence Code Update Offence window will be displayed.
    2. Make the required changes and then click on the Ok button to save the changes.

     

    Removing an Offence Code

    To remove an offence code from the list, proceed as follows:

    1.      At the Offence Codes Browse window, select and highlight the Offence Code to be removed and then click on the Remove button.

    2.      When the delete confirmation window is displayed, select the Yes button to remove the selected offence code from the list.

    Employment Position Codes

    These codes are used to identify the different employee positions within the company.

    View the Employee Position Codes


    To view the available employee position codes, proceed as follows:

    1. Select Positions from the Employee / Human Resources drop-down menu. The Browse Position window will be displayed.

    The options available from this window are:

    1. View options. The options are used to select the order in which the employee position codes are to be viewed.
    2. Employee Position Codes List. This is a list of all the employee position codes that have been registered and provides the following information for each record listed:
    3. Code. This is the code that is used to identify the particular employee position.
    4. Description. This is the description of the particular employee position.
    5. URL. If there is any additional information with regards to the particular offence (i.e. a text file of additional information),enter the URL to locate the particular file.
    6. Send To button. Used to send the current window’s information to a printer, a file or as e-mail to an e-mail recipient.
    7. Add button. This button is used to add a new employee position record to the list.
    8. Change button. This button is used to change the details of an existing employee position.
    9. Remove button. Used to remove an existing employee position from the list.
    10. Close button. Will close the window.

    Add an Employee Position Code


    To add a new employee position code to the list, proceed as follows:

    1. At the Employee Position Codes Browse window, select the Add button. The Employee Position Update window will be displayed.

    1. Select the General option.
    2. Enter in a Code that will be used to identify the particular employee position or use the automatically generated system number.
    3. In the Description box, type in a description of the employee position.
    4. If there is any additional information with regards to the particular employee position (i.e. a text file of additional information), use the Link browse button to locate the particular file.
    5. Use the Quick Select option, available from the Colors option, to select how the particular employee position will be represented.
    6. If required, the Comments option can be used to add any additional comments.
    7. Select the Ok button to save the employee position and to add it to the list.

    Changing an Employee Position Code


    To change an employee position code, proceed as follows:

    1. At the Employee Position Browse window, select and highlight the Employee Position Code to be changed and then click on the Change button and the Update Position window will be displayed.
    2. Make the required changes and then click on the Ok button to save the changes.

    Removing an Employee Position Code


    To remove an employee position code from the list, proceed as follows:

    1. At the Employee Position Codes Browse window, select and highlight the Employee Position Code to be removed and then click on the Remove button.
    2. When the delete confirmation window is displayed, select the Yes button to remove the selected employee position code from the list.

    Disciplinary Action Codes

    These codes are used to identify the different disciplinary actions that can be issued for an offence.

     

    View the Disciplinary Actions Codes


    To view the available disciplinary action codes, proceed as follows:

    1. Select Actions from the Employee / Human Resources drop-down menu. The Browse Action window will be displayed.

    The options available from this window are:

    1. View options. The options are used to select the order in which the disciplinary action codes are to be viewed.
    2. Disciplinary Action List. This is a list of all the disciplinary actions that have been defined and provides the following information for each:
    1. Code. This is the code that is used to identify the particular disciplinary action.
    2. Description. This is the description of the particular disciplinary action.
    1. Send To button. Used to send the current window’s information to a printer, a file or as e-mail to an e-mail recipient.
    2. Add button. This button is used to add a new disciplinary action record to the list.
    3. Change button. This button is used to change the details of an existing disciplinary action.
    4. Remove button. Used to remove an existing disciplinary action from the list.
    5. Close button. Will close the window.

    Add a Disciplinary Action Code


    To add a new offence code to the list, proceed as follows:

    1. At the Disciplinary Actions Browse Action window, select the Add button. The Disciplinary Action Update window will be displayed.

    1. Enter in a Code that will be used to identify the particular disciplinary action or use the automatically generated system number.
    2. In the Description box, type in a description of the disciplinary action.
    3. Select the Ok button to save the disciplinary action and to add it to the list.

    Changing a Disciplinary Actions Code


    To change a disciplinary actions code, proceed as follows:

    1. At the Disciplinary Action Codes Browse window, select and highlight the Disciplinary Action Code to be changed and then click on the Change button and the Disciplinary Action Code Update window will be displayed.
    2. Make the required changes and then click on the Ok button to save the changes.

    Removing a Disciplinary Actions Code


    To remove a disciplinary actions code from the list, proceed as follows:

    1. At the Disciplinary Action Codes Browse window, select and highlight the disciplinary action code to be removed and then click on the Remove button.
    2. When the delete confirmation window is displayed, select the Yes button to remove the selected action code from the list.

     

    Medical Fitness Codes

    These codes are used to identify the different medical fitness levels that are used to classify an employee’s fitness level.

     

    View the Medical Fitness Codes


    To view the available medical fitness codes, proceed as follows:

    1. Select Medical Fitness from the Employee / Human Resources drop-down menu. The Browse Condition window will be displayed.

    The options available from this window are:

    1. View options. The options are used to select the order in which the medical fitness codes are to be viewed.
    2. Medical Fitness Codes List. This is a list of all the medical fitness codes that have been registered and provides the following information for each record listed:
    1. Code. This is the code that is used to identify the particular medical fitness.
    2. Description. This is the description of the particular medical fitness.
    1. Send To button. Used to send the current window’s information to a printer, a file or as e-mail to an e-mail recipient.
    2. Add button. This button is used to add a new medical fitness record to the list.
    3. Change button. This button is used to change the details of an existing medical fitness.
    4. Remove button. This button is used to  remove the details of an existing record.
    5. Close button. Will close the window

     

    Add a Medical Fitness Code


    To add a new Medical Fitness code to the list, proceed as follows:

    1. At the Medical Fitness Browse Action window, select the Add button. The Update Medical Fitness window will be displayed.

    2. In the Description box, type in a description of the disciplinary action.
    3. Select the Ok button to save the disciplinary action and to add it to the list.

     

    Changing a Medical Fitness Code


    To change a Medical Fitness code, proceed as follows:

    1. At the Medical Fitness Codes Browse window, select and highlight the Medical Fitness Code to be changed and then click on the Change button and the  Update Medical Fitness window will be displayed.
    2. Make the required changes and then click on the Ok button to save the changes.

    Removing a Medical Fitness Code


    To remove a Medical Fitness code from the list, proceed as follows:

    1. At the Medical Fitness Codes Browse window, select and highlight the disciplinary action code to be removed and then click on the Remove button.
    2. When the delete confirmation window is displayed, select the Yes button to remove the selected action code from the list.
