HR - Disciplinaries

    The Human Resources Module also provides for Employee Disciplinary Records to be created that can be viewed on request.

     

    Viewing Employee Disciplinary Records


    To view employee Disciplinary Records, proceed as follows:

    1. Select the Discipline Records option from the Query or Edit  / Human Resources dropdown menu. The Browse Discipline window will be displayed.

      Note: When the Browse Employees window is displayed, by selecting and highlighting an Employee in the list and the selecting the Discipline link on the left of the window, only a list of the Disciplinary Records for the selected employee will be displayed.

      The options available from this window are:

     

    1. View options. The options are used to select the order in which the employee disciplinary records are to be viewed.
    2. From Date. Used to select the date from when the employee Disciplinary records are to be viewed.
    3. Group Select button. This button is used to select a group of employees whose disciplinary records are to be viewed. By default, all employees will be viewed.
    4. Employee Disciplinary List. This is a list of employees and provides the following disciplinary information for each employee listed:
    1. Status. This is the current status of the disciplinary procedure. It can be None, Pending or Completed.
    2. Date. This is the date of the offence.
    3. Employee. This is the employee’s personal employment number and name.
    4. Offence. This is the offence that the employee committed.
    5. Action. This is the disciplinary action taken against the employee.
    6. Decided By. This is name of the person who made the decision on the disciplinary action assigned to the employee.
    7. Witness. This column is used to list the name of a witness who observed the offence (if available).
    1. Send To button. Used to send the current window’s information to a printer, a file or as e-mail.
    2. Add button. This button is used to add a new employee disciplinary record to the list.
    3. Change button. This button is used to change the details of an existing disciplinary record.
    4. Remove button. Used to remove an existing disciplinary record from the list.
    5. Close button. Will close the window.

    Add a Disciplinary Record


    To add a new Employee Disciplinary Record, proceed as follows:

    1. When the Browse Discipline window is displayed, select the Add button. The Adding a Disciplinary Record window will be displayed.

    2. Select the General option.
    3. Use the Date select button and select the date of the offence.
    4. Use the Employee Select button and select the employee for whom the disciplinary record is to be created.
    5. Use the Offence Code select button and select the pre-defined Offence Code in the list. If it is a new Offence Code that is not listed, use the [Insert] keyboard key and add the new offence to the list.

      Note: The Offence Codes are defined in the Configuration module.
       
    6. Use the Action Code select button and select the pre-defined Action Code in the list. If it is a new Action Code that is not listed, use the [Insert] keyboard key and add the new action to the list.
    7. In the Decided by text box, type in the name of the person who decided on the disciplinary action to be taken.
    8. If required, use the Witnesses boxes and type in the name(s) of employee(s)/people who witnessed the offence.
    9. Use the Hearing Status select options to select the current status of the disciplinary hearing.
    10. If there is a reference file which you wish to link to the particular record, use the Link select button and use the standard Windows Explorer to link the required file.
    11. If required, select the Details option and any details with respect to the particular offence can be typed into the text box provided.
    12. If required, select the Outcome option and any details with respect to the particular disciplinary outcome can be typed into the text box provided.
    13. The Other option can be used if additional information is required.
    14. Once all the required information has been entered, select the Ok button to save the record and to add it to the list.

    Change a Disciplinary Record


    To change an existing Employee Disciplinary Record, proceed as follows:

    1. At the Browse Discipline window, select and highlight the Employee whose record is to be changed and then click on the Change button. The Changing a Disciplinary Record window will be displayed.
    2. Edit the Employee Disciplinary fields that need to be changed (as detailed in Adding a Disciplinary Record above) and once completed select the Close button to save the changes and to close the window.

    Remove an Employee’s Disciplinary Record


    To remove a selected employee’s Disciplinary Record, proceed as follows:

    1. At the Browse Discipline window, select and highlight the Employee’s Disciplinary record to be removed and then click on the Remove button.
    2. When the delete confirmation window is displayed, select the Yes button to remove the record.
