HR - Equipment Issued

    The Equipment Issued option included in the Human Resources Module allows you to manage and keep records of all equipment issued to employees.

     

    View Equipment Issued


    To view the Equipment Issued list, proceed as follows:
     

    1. Select the Equipment Issued option from the Query or Edit / Human Resources dropdown menu. The Browse Equipment Issued window will be displayed.

      The options available from this window are:
    1. View options. The options are used to select the order in which the employee equipment records are to be viewed.
    2. From Date. Used to select the date from when the equipment issued records are to be viewed.
    3. Group Select button. This button is used to select a group of employees whose equipment records are to be viewed. By default, all employees will be viewed.
    4. Equipment List. This is a list of issued equipment and provides the following equipment history information for each employee listed:
    1. Employee. This is the employee’s personal employment number and name.
    2. Date. This is the date when the particular equipment was issued to the employee.
    3. Time. This is the time when the equipment recorded was issued.
    4. Equipment. This is the equipment identity code and description of the equipment issued.
    5. Serial Number. This is the particular equipment’s serial number.
    6. To be returned by. This is the date when the equipment is to be returned.
    1. Send To button. Used to send the current window’s information to a printer, a file or as e-mail.
    2. Add button. This button is used to add a new Equipment Issued record to the list.
    3. Change button. This button is used to change the details of an existing record.
    4. Remove button. Used to remove an existing record from the list.
    5. Close button. Will close the window.

    View an Employee’s Equipment Issued Record


    To view the equipment issued record for an employee, proceed as follows:

    1. When the Browse Employees window is displayed, select and highlight the employee whose equipment issued records are to be viewed and then click on the Equipment link on the left of the window. The Browse Equipment Issued window will be displayed.

      The options available from this window are:
    1. Employee. The employee’s number and name of the selected employee are displayed at the top of the window.
    2. View Option options. These options are used to select the order in which the list is to be viewed.
    3. From Date. This is used to select the date from when a list of all issued equipment is to be viewed.
    4. Equipment List. This is a list of the employee’s equipment records and provides the following information:
    1. Date. This is the date when the particular equipment was issued to the employee.
    2. Time. This is the time when the equipment was issued.
    3. Equipment. This is the equipment identity code and description of the equipment issued.
    4. Serial Number. This is the particular equipments serial number.
    5. To be returned by. This is the date when the equipment is to be returned.

    2. Add button. This button is used to add a new record when issuing of a new piece of equipment to the selected employee.
    3. Change button. This button is used to change the details of an existing record for a selected employee.

    Add an Equipment Issued Record


    To add a new equipment issued record for a selected employee, proceed as follows:

     

    1. When the Browse Equipment Issued window is displayed, select the Add button. The Update Equipment Issued window will be displayed.

    2. Use the Employee select button and select the employee to whom the equipment is to be issued.
    3. Use the Date select button and select the date for when the equipment is to be issued.
    4. The Time will automatically be that of the computers time when the report is created but can be changed (i.e. to the time when the equipment was issued).
    5. Use the Equipment select button to select the particular piece of equipment being issued from the predefined list of equipment.
    6. In the Serial Number text box, type in the serial number of the particular piece of equipment being issued.
    7. Use the Condition select button and select the option that best describes the condition of the equipment being issued.
    8. Use the Issued By select option and select the name of the employee who is issuing the equipment.
    9. Use the To be returned by select button and select the date when the equipment is due to be returned.
    10. If required, use the Notes option to add additional information on the equipment being issued.
    11. Select the Ok button to save the equipment issued record and to add it to the list.

    Change an Employee’s Equipment Issued Record


    To change an employee’s equipment issued record, proceed as follows:

    1. When the Browse Equipment Issued window is displayed, select the employee equipment issued record that is to be changed and then click on the Change button. The Update Equipment Issued window will be displayed.
    2. Make the necessary changes as required and then select the Ok button to save these changes.

    Equipment Returned Record


    When equipment is returned by a selected employee, proceed as follows:

    1. When the Browse Equipment Issued window is displayed, select the Change button. The Update Equipment Issued window will be displayed.

    2. Select the Returned check box (ticked).
    3. Use the Employee select option and select the name of the employee to whom the equipment was returned.
    4. Use the Returned On select button and select the date for when the equipment was returned (will default to the current date).
    5. Use the Condition select button and select the option that best describes the condition of the equipment being returned.
    6. If required, use the Notes option to add additional information on the equipment being returned.
    7. Select the Ok button to save the equipment record.

    Remove an Employee’s Equipment Issued Record


    To remove an employee’s equipment issued record, proceed as follows:

    1. When the Browse Equipment Issued window is displayed, select and highlight the employee’s equipment issued record that is to be removed and then click on the Remove button.
    2. When the delete confirmation window is displayed, select the Yes button to remove the record from the list.
