Employees

    This option enables you to configure the system with the minimum employee information required to function.

     

    CONTENT

    Using the Employees Jump-Start Option

     When the initial Jump Starts window is displayed, select Employees and the following window will be displayed:

    Adding Employees - (Step 1)

    Select the Add your Employees button and enter the required information into the appropriate text boxes.

    Select the Add_button.png button to add the employee to the system and select the Close_button.png button. The Jump-Start Employees window will again be displayed. The next step is to assign a card to each employee.

    Assigning Employee Cards - (Step 2)

    Select the Give each employee a card button and drag the required card from the Available Cards list to the Card Number field. Once the card is assigned, the employee detail will be grayed out, indicating that the card assignment was successful. If the wrong card was assigned to an employee, it can be corrected by dragging the correct card number from the Available Cards list over the wrong card number and dropping it there. Select the Close_button.png button once the task has been completed. The Jump-Start Employees window will again be displayed.

    Creating Employee Shifts - (Step 3)

    Select the Create some Shifts button and click on the Add_Shift_button.png button to start the shift creation wizard.

    Using this wizard, Enter the Shift Code that will be used to identify the particular shift, a Description of the shift and if required Notes can be added that further identifies the shift.

    The next requirement is to set the days of the week that are to be Worked and also the Start and End times for each day.

    Once the required daily details for the week have been defined, select Next_button.png.

    The next requirement is to select if the employees on this shift have a Lunch Break or not. If No then skip to Do you want Rounding and if Yes, continue with the next step.

    Enter in the start (From) and end (To) times for the lunch break and enter the Minimum time to be taken. Next select if the employees receive a Paid Lunch Break or not. Use the final option to select if the employees are required to Clock In/Out for the lunch break or not.

    The next option is used to select if Rounding is to be used or not. Rounding is used to move the clocked time to the nearest rounding time, i.e. if the rounding time is set for 15 minutes and an employee clocks at 12:07 then the time will be adjusted to 12:00. If the clocking was at 12:08 then the clocking would be adjusted to 12:15. If rounding is to be used (Yes) continue with the next step, else skip to the Employee on this shift are paid section.

    Set the Rounding Period that is to be used and also the Rounding Break for the In and Out clockings.

    Then define when the employees on this shift are to be paid, weekly, bi-weekly or monthly. If paid Weekly cotinue to the next step and if Bi-weekly or Monthly skip to the First day of pay period section.

    If the employee is paid weekly, you then need to select the Day of the week on which the pay week starts.

    If Bi-weekly or Monthly payment was selected, used the date select button and select the Start Date for when the period is to start.

    Once the information has been captured, select Finish_button.png and the system will now create the shift and add it to the list of shifts. To return to the Jump-Start Employees window, select Close_button.png.

    Assigning Shifts to Employees - (Step 4)

    Select the Put each employee on a Shift button and assign the required shift to an employee by dragging the shift code from the list of shifts to the employee Shift field. When a shift is assigned, the employee details will be grayed out in the list, indicating that the assignment was successful.  If the employees are all on the same shift, select the required shift and then select the Shift_button.png  button.

    Please Note: If the wrong shift was assigned to an employee, it can be corrected by editing the Employee Master File.

     

    Once theJump-Start wizard has been completed and employees have been added, access cards and shifts have been allocated, the TNA system will be functional and can start recording the employee clockings.
