Leave

    TNA gives you the facility to capture employee leave and allows you to categorise the leave into one of five categories. The default categories are Paid, Unpaid, Sick, Study and Compassionate leave and can be changed or added to using the Configuration Module. You can capture a number of fields concerning the leave, including reasons for the application, approval or non-approval by higher authority, and comments by the person who allows, or disallows the leave.  At the start it is simply sufficient to capture the leave dates, and set the leave to be approved.

    View All Employees Leave

    To view all employees leave applications as a list, click on the Leave button from the toolbar and the Employees Leave Planner window will be displayed.

    To view all the employees leave applications in the calendar view, select the Calendar View option.

    View single Employees Leave

    To view the leave applications for a single employee in the list view, highlight the employee and click on the Leave_link.png link and the Browse Employee Leave window will be displayed.

    Status column reflects the current status of the leave application, a question mark () if pending, a tick mark () if approved and a red cross () if not approved. PLD/PSD column identify the number of Paid Leave Days or Paid Sick Days have been taken.

     

    To view the employees leave application in the calendar view, select the Calendar View option.

    Please Note: A Leave Application can also be created, changed or removed by right-clicking on a particular date in the calendar for an employee and then selecting the required operation from the pop-up menu.

     

    To view the leave that an employee has earned, select the Earned settings option.

    The Status Column displays the status of the leave earned, a computer chip () if calculated by the system or a hand () if manually added. Scale is used to calculate the number of leave days earned, whilst Earned displays the number of days earned for the selected period.

     

    To view the leave scales that are assigned to an employee, select the Scales settings option.

    Creating a Leave Application

    To create a new leave application for an Employee, click on the Add_button.png button in the Employees Leave Planner window. Use the Employee select button and select the employee for whom the leave application is to be created and the Type select button to select the type of leave that they are applying for. Select the Requested On, From and To Date and select whether the leave is Approved, Pending or Not Approved. The Paid Leave Days will reflect the number of paid leave days that is being applied for (if it is classified as paid leave).

    To enter more detailed information regarding the approval of the leave application, select the Approval selecet option. The Date of aprroval, Decision made by and a comment can now be entered.

    Please Note: Before approving Leave, it is recommended that you use the Groups option to view the number of staff within the current employee’s workgroup who are not on leave for this period and if the minimum leave requirement for the group has not been exceeded.

     

    Groups option lists the employee Group classifications that the employee falls within. It also lists the Minimum staffing level for each and the Actual number of staff that are not on leave for each classification for the period that leave has been requested.

    To Change an employee’s leave application, simply click on the Change_button.png button and  make the necessary changes as required.Edit section

     

    To Remove an employee’s leave application, simply click on the Remove_button.png button and select Yes when the delete confirmation window is displayed.
