Payroll Hours


    Payroll Hours are the hours calculated from the total daily hours. This usually comprises of Normal Time, Overtime 1.5 and Overtime 2.0, etc. The actual amount of hours will depend on the shift configuration and the clockings clocked.

     

    CONTENT

    View All Employees Payroll Hours

    Select the toolbar Payroll Hours button or the Payroll Hours option from the Query or Edit dropdown menu and the Browse the Employee Payroll Hours window will be displayed.

    The information and options that are available from the Browse the Daily Employee Hours window include:

    • View Order Option. By clicking on the particular column headings you can select the order in which the employees Payroll Hours are to be viewed within the list.
    • Group Select button. This select button is used to select a Group of employees for whom thePayroll Hours are to be viewed.
    • Show Blanks. This select button is used if blank Payroll Hours must be shown.
    • Payroll Hours Pay Type. The pay type of daily hours is displayed on the left side of the employee name and can be:
      • Normal TNA Hours. This shows standard TNA hours and has a money icon (payroll.JPG).
      • Job Hours. This is identified by a hardhat icon (hardhat.JPG) and is used to identify Job Costing hours.
    • Payroll Hours Type Column. The type of Payroll Hours is displayed on the left side of the pay type and can be:
      • Processed. This identifies hours that are processed by the system and is displayed by a microchip ().
      • Bulk. This is identified by a graphical Box (bulk.JPG) and is displayed when Bulk Daily Hours are performed.
      • Manual. This is identified by a Hand (Hand.JPG) and is displayed when a Daily Hours are manually change or added.
    • Payroll Hours Status Column. The type of Payroll Hours is displayed on the left side of the Type column and can be:
      • Add. This is identified by a green plus sign () and is displayed when Payroll Hours are added to the system. Normal processed hours will also have this sign.
      • Subtract. This is identified by a red minus sign () and is displayed when Payroll Hours are subtracted. 
      • Override. This is identified by a grey circle () and is displayed when Payroll Hours are added to override existing Payroll hours.
    • Process Button. Used to manually force the system to re-process the hours and is normally used after changes have been made.
    • Info Button. Normally selected if you think one of thePayroll Hour’s information is incorrect.  This will display a screen containing a list of information explaining the steps that the system took to derive at the particular Payroll Hours record.
    • Send To button. Used to send the current window’s information to a printer, a file or as e-mail.
    • Overtime Button. This is used to view the Overtime Authorisations for a selected Payroll Hour’s record.
    • Rostering Button. This is used to view the Rosterings for a selected Payroll Hour’s record.
    • View Warnings Button. This is used to view the Warnings for a selected Payroll Hour’s record.
    • View Errors Button. This is used to view the System Error for a selected Payroll Hour’s record.
    • Daily Hours Button. Used to view the Daily Hours for the selected Payroll Hours.

     

    View an Employee’s Payroll Hours

    To view the Payroll Hours for a particular Employee, select the Employee whose Payroll Hours are to be viewed and then click on the Payroll Hours button. Use the From Date select button and select the date from when the Payroll Hours are to be viewed.

    Add Employee Payroll Hours

    To manually add Payroll Hours for an employee, select the Add_button.png button and select the General option. Select the Employee and date for whom and when the payroll hours are to be added. If the hours added are to be considered as part of shifts, enter the amount of shifts worked. Use the Status select options to select how the added Payroll Hours are to affect the total hours. Use the Hours and Category box to allocate the number of hours for each available category by clicking on the Hours next to the required Category(s).

    If the hours that are being added are not going to affect the process of Job Costing, select the Ok button to add the Employee Payroll Hours. If the hours that are being added do however affect the processing of Job Costing (refer to Job Costing Section), select the Job Costing option and select the required classifications.

    Change an Employee’s Payroll Hours

    To change an employee’s Payroll Hours, select the Employee Payroll Hours that are to be changed and then click on the Change_button.png button. Make the necessary changes as described in Add Employee Payroll Hours above.

     

    Please note: Only Employee Payroll Hours that have been manually Added or Removed can be Changed. The only other way to manually change Payroll Hours is by changing Employee Daily Hours (as described under Employee Daily Hours) and then reprocessing the hours or by changing clockings which then change Daily Hours and then Payroll Hours.

    Remove an Employee’s Payroll Hours

    System calculated Employee Payroll Hours can not be removed. The only way is to follow the Add Employee Payroll Hours procedure and then to use the Status options to either Override an existing Payroll Hours or to Subtract the added hours.

     

    View the Employee Daily Hours for a Payroll Period

    To view the Daily Hours that the system used when calculating the Employee Payroll Hours, select the Employee Payroll Hours for which the Daily Hours are to be viewed and then click on the Daily_hours_button.png button.

    The Browse Daily Employee Hours File window provides a list of all the Employee’s Daily Hours that were used by the system to calculate the particular Employee Payroll Hours that are being queried or viewed.

     

    View Overtime Payroll Hours Authorisations

    When viewing Employee Payroll Hours and you wish to view the Overtime Authorisation Hours, select the Payroll Hours for which the Overtime Authorisation is to be viewed and then click on the Overtime_button.png button.

    Re-Process an Employee’s Payroll Hours

    This operation is used to re-process a selected Employee's Payroll Hours in the list and is normally done after hours have been added or changed. To re-process a Payroll Hours, select the Payroll Hours that are to be re-processed and then click on the Process_button.png button. As the Payroll Hours are processed by the system, a progress window will be displayed.

     

    Viewing Payroll Hours Processing Information

    This procedure is used to view the process that was performed by the system to calculate a selected and highlighted Payroll Hours in the list. To view a Payroll Hours process, select the Payroll Hours for which the system process information is to be viewed and then click on the Info_buton.png button.

     

    If the Browse the Details window is blank, select the Process_button.png button to enable a process to be performed on the selected Payroll Hours. This window provides a list of all the processes and results that were performed to calculate the selected Payroll Hours. This is also useful when doing fault location and trying to correct system errors

    The See Embed Points tick box will enable you to see the system embedded point within the process.

    View ErrorsEdit section

    Errors occur when the system is not able to process the daily hours and can be due to incorrect clockings.

    For more information on employee errors, refer to the section on Fixing Errors.

     

    View WarningsEdit section

    Warnings are generated by the system and occur when employee clockings fall out of the defined employee working times. Typical warnings can include clocking in early or late to work, leaving early or late, absent for a day, missing lunch, etc

     

    View Payroll Shift Roster

    To view a Payroll Shifts that have been Rostered, select the Set_shift_button.png button.
