TNA Overview - Menu Options

     


     

    CONTENT

     

    Starting from the TNA Programs Menu

    To start the User Module, proceed as follows:

    Click on the Window’s Start button and then go to All Programs/TNA and select the User Module option and the User Module will open. If you have not yet logged into the system, the TNA Login window will be displayed.

    Type in your allocated Login user name and Password. If you wish the system to remember your password, select the Save Password checkbox and click OK.

     

    Please Note: TNA login details are not case sensitive.

    Main Window Background

    On the main screen background the following information is displayed:

    • The Name of the Module and version number.
    • The current Date and Time.
    • Supplier and Service Details.  This is the contact information when you need support from your supplier.
    • If the Server is not running, a message will be displayed within a highlighted red box.
    • The current level of the program. (Lite, Sandard, Enterprise)
    • The site for which the data is being viewed.
    • The date and time when the last collection was made.
    • The date and time when the last backup was made.

     

    Toolbar Menu Options

    File

    From the File menu, the following options are available:

    • Print Setup:  Used to select and set up the printer to be used for the printing of reports.
    • Print Report:  Used to print a report.
    • Export to Payroll: USed when exporting hours to your payroll system.
    • Import: These options are used to import employee information from existing files and includes:
    • Clockings. This option is used to import clocking details from various different types of clocking files.
    • Employee. This option is used to import Employee information from existing text files.
    • Leave. This option is used to import employee Leave information from existing leave files.
    • Terminations. This option is used to import employee Termination information from existing files.
    • File Manager:  Used to add, fix or rebuild index files that have been corrupted due to possible power problems.
    • Verify Data:  Used to check that the index files are ok and that the system data is current.
    • Exit:  closes the User Module.

     

    Tasks

    The options from the Tasks drop down menu are all wizards that guide you through each task. The tasks that can be performed are:

    • Add Employee to this program:  This is used to add a new employee to the system.
    • Remove Employee from this program:  This is used to remove an employee from the system.
    • Process Employee Leave Application:  This is used to assist you with processing a leave application.
    • Assign a card to an Employee:  Used to assign a clocking/access card to an employee.
    • Assign a Temporary card to an Employee:  Used to assign a temporary clocking/access card to an employee.
    • Issue a Visitors card:  Used to assign a clocking/access card to a visitor.
    • Release Card. This option guides you through the steps required to release all temporary and visitor’s cards.
    • Add Bulk Clockings:  Used to manually generate clockings for a group of employees.
    • Add Bulk Daily Hours:  Used to add daily hours to a group of employees.
    • Add Bulk Payroll Hours:  Used to add payroll hours to a group of employees.
    • Add a Public Holiday:  Used when adding a new public holiday to the system.
    • Redirect some Daily Hours. Used to redirect daily hours from one day to another.
    • Add Report to Toolbar. This option is used to select reports and to add them to an optional toolbar. This is normally for reports that are generally printed on a regular basis.
    • Mute Sirens.  Used to mute all sirens that are connected to clocks.
    • Override Sirens.  Used to override all current siren setups for all connected clocks to use a selected siren set.

     

    Query or Edit

    The options that are available from the Query or Edit dropdown menu are used to view and manage general system employee data and include:

    • Employees:  As the core of the TNA system is the employee information, this option enables you to manage all information related to an employee.
    • Clockings:  This option enables you to manage the various employees clockings.
    • Daily Hours:  This option enables you to manage the various employees daily hours. The actual amount of hours will depend on the shift setup and the clockings clocked.
    • Payroll Hours: This option enables you to view all employees payroll hours for the selected employee group.
    • Leave:  These sub options enable you to view and manage employee’s leave information and includes:
    • Leave Planner.  This option is used when planning leave for employees.
    • Leave Earned.  This option provides a list of the type and number of days leave that has been earned by each employee.
    • Leave Scales Assigned to Employees.  This option lists the particular leave rules that have been assigned to each employee.
    • HR:  This option enables you to manage all HR information related to an employee and includes:
    • Dependants. This provides a list of employees and their dependants and related information.
    • Disciplinary. This is a list of employee’s against whom disciplinary action has been taken.
    • Employment History. This option provides a list of employees and includes there position and salary.
    • Equipment Issued. This provides a list of equipment that has been issued to employees.
    • Notes. This option opens a window that lists the employee’s and any particular notes that have been associated to each.
    • Training. This option opens a window that lists the employee’s and the courses they have attended and are scheduled to attend.
    • Access Control.  The options available are access control related information  and includes:
    • Visitors.  This option provides a list of all visitors who have been registered on the system.
    • Visits.  This option provides a list of all visits for a selected period.
    • Who’s In Who’s Out.  This option identifies all employees/visitors who are on the premises or not.
    • Daily Hours Overtime Authorisations. This option enables the overtime hours to be viewed and authorised on a daily basis. Please note that daily overtime authorisation needs to be configured.
    • Payroll Hours Overtime Authorisations. This option enables the overtime hours to be viewed authorised on a payroll basis. Please note that payroll overtime authorisation needs to be configured.
    • Processor Warnings:  This option enables you to view all warnings for the selected group of employees.
    • Processor Errors: This option enables you to view all errors for the selected group of employees.
    • Public Holidays:  Used to view and manage the list of public holidays.
    • Expected Employee Hours. Used to view or add expected hours for a particular day.
    • Daily Shift Rostering:  Used to view and manage employee daily shifts. Please note that daily shift rostering needs to be configured.
    • Payroll Shift Rostering:  Used to view and manage employee payroll shifts. Please note that payroll shift rostering needs to be configured.
    • Cards:  This option allows you to view a list of cards to see who is presently assigned to each card.

     

    Analysis

    The Analysis menu allows you to perform an analysis for the following.

    • Cost:  This option enables you to view employee cost analysis per classification as a list or as a graph.
    • Warnings. This option enables you to view employee warnings per classification as a list or as a graph.
    • Leave.  This option enables you to view employee leave information per classification as a list or as a graph.

     

    Bulk

    The Bulk options are used to make changes to a group of employees and include:

    • Employees:  Bulk employee functions can be performed from this menu and include the following:
      • Edit Employees
      • Cassify Employees
      • Remove Employees
    • Clockings: Bulk clocking functions can be performed from this menu and include the following:
      • Add Clockings
      • Remove Clockings
    • Daily Hours:  Bulk daily hour functions can be performed from this menu and include the following:
      • Add Daily Hours
      • Remove Daily Hours
    • c.    Payroll Hours:  Bulk payroll hour functions can be performed from this menu and include the following:
      • Add Payroll Hours
      • Remove Payroll Hours
    • d.    Leave:  Bulk leave management can be performed from this menu and include the following:
      • Add Employee Leave
      • Remove Employee Leave
      • Assign Leave Scales
    • Shift Rostering:  Bulk shift rostering functions can be performed from this menu and include the following:
      • Add Daily Shift Roster
      • Swap Daily Shift Roster
      • Remove Daily Shift Roster
      • Add Payroll Shift Roster
      • Swap Payroll Shift Roster
      • Remove Payroll Shift Roster
    • Overtime Authorisations:  Bulk overtime authorisation functions can be performed from this menu and include the following:
      • Add Daily Hours Authorisation
      • Add Payroll Hours Authorisation
      • Remove Daily Hours Authorisation
      • Remove Payroll Hours Authorisation
    • Expected Employee Hours.Bulk expected daily hours functions can be performed from this menu.
    • Training:  Bulk training functions can be performed from this menu and include the following:
      • Add Training
      • Change Training
      • Remove Training
    • Process:  This option allows you to force the re-processing of hours for a specific group of employees or a single employee.

     

    Tools

    From the Tools menu, the following options are available:

    • Restore Default Window Positions: This option restores all TNA windows to their default position.
    • Clear Saved Login Details: This option clears the auto login feature and will re-enable the TNA login window.
    • Display Backup Warning: This option enables the backup warning to be displayed when closing the User module
    • Browse Users: This option allows you to view and manage all TNA Users.
    • Set User Access: This option allows you to view and manage each users access to each window in TNA.
    • Change Password: This option allows you to change the password of the current logged in user.
    • Product Registration: This option allows you to view the product registration information.
    • Remote Shutdown: This option allows you to disconnect all current TNA users.
    • Optimise For Remote Access: This option allows you to optimise you TNA setting for remote access.
    • Enable Cue Cards: This option allows you to enable or disable the help tooltips in TNA.

     

    Toolbar Buttons

    The following toolbar buttons are available:

    Browse_emps_button.png

    View Employee Information – Used to browse and edit the employee data files.

    Browse_clockings_button.png

    View Employee Clockings –  Used to view and edit the employee clocking information.

    Browse_daily_button.png

    View Daily Hours – Used to view and edit employees daily hours of attendance.

    Browse_payroll_button.png

    View Payroll Hours – Used to view and edit employee payroll hours.

    Browse_leave_button.png

    View Employees Leave Records – Used to view and edit employees leave records.

    Browse_roster_button.png View Daily Roster - Used to view and edit daily rosters.

    Browse_jump_button.png

    Jump-Start – Used to start the Jump-Start option that enables you to use wizards to set up the system with the minimum system requirements.

    Reports_button.png

    Print a report - Used to print a report to a printer, the screen, a file or to an e-mail address.

    Clock_button.png

    Manage Clocks – Used to view and edit the system clocks.

    Payroll_reports_button.png

    Export to Payroll – Used to export the payroll hours in the required format.

    Go_button.png

    Stop_button.png

    View Processing Errors – Used to view and fix processor errors. When no Errors are present, the sign will show Green and the word “GO” will be displayed OR If Errors are present the sign will show Red and the word “STOP” will be displayed.

    Config_button.png When selected will open the Configuration Module.

    Exit_button.png

    When selected will Close all TNA modules.

     

    Common Window Buttons and Applications

    Button

    Description

    Select.png

    The question mark or select button is used when a selection has to be made and an application or a list is available to assist with the selection.

    Add_button.png

    The Add button is used whenever information needs to be added to the system.

    Change_button.png

    The Change button is used when changes are to be made to existing system information and will only be update once the Ok button is selected.

    Remove_button.png

    The Remove button is used when selected records or information are to be removed from the system.

    Ok_button.png

    The Ok button is selected to save information after a new record has been created or an existing record has been changed.

    Close_button.png

    The Close button is used to close a window.

    Cancel_button.png

    The Cancel button is selected when a process is to be cancelled or stopped.

    Sent to_button.png

    The SentTo button is used to capture the current window’s information and send it to a file, printer or by e-mail it to an e-mail recipient.

    Info_buton.png

    The Info button is used to view the process steps of a system calculation and is normally used to view the daily and payroll hour calculations.

    Process_button.png

    The Process (sometimes called the re-process button) is used to initiate a system process and is normally used after manual changes have been made to clockings or employee hours or shifts.

    Warnings_button.png

    The Warning button brings up a list of system employee warnings.

    Errors_button.png

    The Error button will open the Browse the Error files window and show all current system errors.

    Fix_button.png

    The Fix button is used to assist in the clearing of system errors and when selected will guide you to the most likely cause of the error.

    Clockings_button.png

    The Clockings button will open the list of employee In and Out clockings.

    Daily_hours_button.png

    The Daily Hours button will open the list of employee daily attendance hours.

    Overtime_button.png

    The Overtime button will open the list of daily employee hours authorisations and can be for daily or payroll hours.

    Rostering_button.png The Rostering button is used to view information about employee(s) rostering

    Leave_button.png

    The Leave button is used to view information about employee(s) leave.

    Select_emp_button.png

    The Select Employees button is used whenever a task is to be performed for more than one employee.

    Custom_select_buton.png

    The Custom Select button is normally used when selecting a group of employees and will open an employee select window.

    Print_button.png

    The Print button is used to make a printout of particular information.

     

    Common System Applications

    Custom Selection Window

    When a Custom Select button is selected the following window is displayed and is used to select individual or groups of employees.

    Used to move a selected employee from the Selected window back to the Not Selected window.

    Used to select a Group of employees to be move to the Selected window.

    Used to select a Group of employees to be move back to the Not Selected window.

    CS_button5.png

    Used to move all employees from the Not Selected window to the Selected window.

    Used to move all employees from the Selected window back to the Not Selected window.

     

    Send To Option

    The Send To button that is found on most of the TNA windows is used to capture the current window’s information and send it to a file or printer or you can e-mail it to an e-mail recipient.

    To print/save the current window information, proceed as follows:

    When a window is displayed that has the Send To button and the information is to be printed, saved or e-mailed, select the Send To button. The Send Browse To… window will then be displayed.

    In the Sent to section select options on how the window information is to be sent. If the information is to be sent to a File or an e-mail address, use the Format section to select the format that is to be used. Once all the required send options have been selected, click on the Send / Save button.
